Printing Tips for Microsoft Excel Document

The use of Microsoft Excel has become increasingly popular in almost every industry. The program offers users the opportunity to prepare and present reports and other important documents in a professional format. Here are a few expert tips for printing Microsoft Excel documents.

Printing
The following are the different views in which Microsoft Excel allows users to view the spreadsheet and manipulate how the printed document will appear.
Normal view – This is the default view and is best for viewing and working with the document when it is in softcopy.
Print preview – This allows users to view page by page view of exactly how the document will look when it is printed.
Page break preview – This view allows users to see what data will appear on each page so they can manipulate print area accordingly.

When working with the 2003 version, after entering data on the spreadsheet click on 'File' then 'Print Preview'. A dialog box should appear. This shows how the document will look when it is printed. If the spreadsheet has more data going down than data going across, the orientation should be 'Portrait'. If it has more data going across than data going down, the orientation should be 'landscape'.
Ensure the paper size selected is actually the one that the document will be printed on.

If one is printing a multi-page spreadsheet, they may want to consider having the row headers on top of the rows and columns on each page of the printed document. and column
To Repeat Row and Column Labels:
1) Select the Sheet tab
2) select Rows to repeat at top and type the row labels that should be printed on each page
3) For columns headings to be repeated on each page, select in Columns to repeat at left and
type in the column labels if they are to be repeated on each page.
Always review the document on 'Print Preview' before sending it to the printer.

Images
One is able to center the image on the spreadsheet horizontally between the left or right margins or center it vertically on the page between the top and bottom margins.
To Center an Image on a Page
1) Select Margins tab
2) Select both horizontally and vertically under Center on Page
3) Select OK in order to view changes in Print Preview format.

Tables and Charts
When working with tables and charts, it is important that each printed sheet is easy to read and understand. Therefore, use the scaling option then 'adjust to' to view how the data will fit on each sheet.
N.B. This option will reduce the size of the text, be sure to ensure that you do not reduce the size of the text to the point that it becomes illegible.
